How to set up a weeknight golf league
Standing up a weeknight golf league is eight decisions made once, in week 0, and written down: the night and course, the format and handicaps, the subs, absence, and tie rules, and the dues and payouts. Publish them and most of the season's arguments disappear.
In one line: a weeknight golf league is one volunteer running 9 holes for 12–24 players over 7–12 weeks — and the whole job is making eight rules decisions before week 1 and publishing them, so nobody has to invent a ruling on the night it's needed.
Almost every league dispute is really a decision that got made too late — a sub rule invented the night someone's regular didn't show, a tie broken by whoever argued loudest. The fix is a rules sheet written in week 0. Here is the checklist.
1. Pick the night and the shape
The standard weeknight league is 9 holes off a block of tee times or a mini-shotgun — roughly two to two and a half hours of golf, 12 to 24 players, over 7 to 12 weeks. Build formats and handicaps for nine; don't force 18-hole conventions onto a 9-hole product.
Settle the night, the number of weeks, and roughly how many players you expect. Everything after this is sized to those three numbers.
2. Lock the course and the tee plan
Talk to the pro shop early — it's their tee sheet. A mini-shotgun (groups start on different holes at once) finishes everyone together, which is ideal if the league's real product is the patio hour and same-night payouts. A tee-time block suits courses with public play and lets late-from-work players slot in. Ask for roughly 9–10 minute spacing between groups: short intervals create backups that compound through the round.
3. Choose the format

4. Choose the handicap method
A private league may use any published, consistently applied handicap or quota system for its own standings. What you may NOT do is call a homemade number a WHS Handicap Index or use it outside the league.
Pick a simple, published method and apply it the same way to everyone. Our casual-handicaps guide covers the honest options. Seed new players fairly — a common default is that a player's first round sets their starting number, so nobody can win their debut by construction.
5. Write the subs and absence rules
A written sub policy answers three questions: who may sub, whether the sub's score counts for standings, and whose handicap applies — always the sub's own, never the absent player's. Retroactive absence rulings are the #1 source of league drama.
For absences, pick a published rule — zero points, a fixed fraction of the player's average, or dropping each player's worst N weeks at season end. The specific choice matters less than publishing it in advance.
6. Publish the tie-breaker
Decide the tie method in week 0 and print it: a playoff, matched scorecards (best score over the last nine, six, three, then the final hole), or shared ranks (two players tied for second both show T2, and the next distinct result skips the shared spot). Deciding after a tie is how leagues lose members.
7. Set dues and the payout structure
Itemize the green fee, the pot, and any admin so players can see the split. Spread the payouts — a common healthy structure is roughly a third to season and flight winners, a third to weekly results, and a third to a final night — so every week and every flight stays live. 8. Collect dues and kick off
Publish the finished rules sheet, then collect dues before week 2 — chasing money in September is a volunteer's nightmare. Show the money board at the kickoff meeting; transparency kills the "where does the money go" grumble before it starts.
